Job Description:
General Duties:
Responsible for being the face of the company at reception and greeting patients in a warm and friendly manner. Will be expected to deal with patient enquiries and appointment bookings both in person and via phone and email for a range of clinics.
Successful candidate will also be responsible for a wide range of administrative duties, managing client records, coordinating schedules, handling enquiries, and providing administrative support to the team. The role requires excellent customer service and organisational skills, attention to detail, and the ability to multitask in a fast-paced environment.
o Reception duties and dealing with patient enquiries both in person and via telephone.
o Email correspondence and inbox management
o Appointment booking management
o Input data for both clinical and non-clinical information and maintain accurate databases on a daily basis
o Diary management and general scheduling, correspondence, and record-keeping.
o Type up letters, reports, and general document management.
o To conduct audits and produce reports as required.
o Work on own initiative and produce documents, which do not require checking as a matter of routine.
o Respond to and direct incoming calls, ensuring accurate message recording and timely delivery.
o Provide comprehensive clerical support in line with administrative procedures.
o Manage work efficiently to meet response deadlines.

Who they are Looking For:
o Previous customer service experience
o Fantastic MS Office skills, with a particular focus on Outlook, Word & and Excel.
o Ability to pick up new IT systems
o Excellent written communication and telephone manner
o High attention to detail.
o Well organised.
o Able to prioritise workloads independently and meet strict deadlines.
o Able to handle sensitive information.
o Be focused on providing a high level of service to patients and healthcare professionals
o Be flexible and reliable
